Booking Terms
Booking
1. Reservations are with Specialised Adventure Travel, Inc, 319 Hopkins Road, Baltimore, MD 21212, USA. Specialised
Adventure Travel is a Maryland, USA based Close Corporation directed by Robin Shackell.
2. To confirm your reservation, please complete the personal and medical information form, sign the booking form and send
them together with your deposit of 15% of the cost of the trip.
3. To enable us to reserve and pay for other services connected with your vacation, we require the balance to be paid
at least two months before departure. Reservations made less than three months before departure will need to be paid in full.
Reservations made later than this may incur additional costs. You will wish to be aware that reservations for the
Galapagos Island crusies and the Inca trail, particularly during high season, may need to be made 3 - 9 months in
advance to ensure that your choice is available.
Cancellations and Prices
4. Our over riding principal on cancellations is to return to you any un-used funds. We shall also deduct one off payment of
US$150 per person to cover the time and effort that we have already put in. We normally begin making down stream payments
for your trip 2-3 months before departure.
5. In the event that it is necessary for us to cancel a trip for reason within our control, you will receive a full
refund. We are unable to accept liablilty for damages in respect of any cancellation.
6. Published prices are per person based on two people sharing a room. We are happy to arrange trips for any number of
people. Our custom tours include the price. Published prices can be affected by changes outside our direct control.
Should prices change, we shall notify you as soon as possible.
Insurance
7. For your enjoyment and safety, we require you to take out insurance that covers the type of activities you
are doing and your medical costs and repatriation in the event of an emergency. For example, coverage will need to
include Global Rescue for Climbing and Hiking trips. We recommend that your insurance policy
covers you in the event that you are unable to travel, and also your baggage and other effects.
8. A copy of your insurance policy should be sent to us no later than 3 weeks after you book, or with the booking
form if the holiday is booked less than 3 months before the vacation commences.
Travel documents
9. You will need a full passport that is valid for at least six months beyond the return date. We shall let you know if
you need a visa. We are able to help get the appropriate paper work for a visa should it be necessary. We are unable to apply
on your behalf.
Health and Safety
10. To help ensure that your trip is a healthy one and that you return healthy, we ask that you obtain the necessary
vaccinations before travelling. For a list of vaccinations please visit your Medical Practitioner.
11. Travel to the countries where we operate is potentially hazardous. In addition, the activities that we undertake
carry their own inherent risks. Safety standards in these countries are often much lower than one can expect in the US
or Europe. Proper medical facilities can be 2 days travel or more away. By signing the booking form, you declare
that you personally assume all risks and hazards involved in travel to these remote and dangerous areas. Furthermore, you
and your next of kin agree to release Specialised Adventure Travel, Inc from any liability in connection with the above
risks whatsoever. It is a condition of booking that the customer has read and accepted the information contained in the
Safety section of this website.
12. We shall do everything in our power to ensure that you visit the places listed in the itinerary. On occasion
this may not be possible. Where this is the case, we shall try to substitute similar activities. However, Specialised
Adventure Travel, Inc is not able to bear responsibility for any delays or alterations to the stated itineraries caused by
illness, weather, strikes, war, terrorism, political events and any other circumstances clearly beyond our control.
Your responsibilities
13. We expect you to be fit enough to undertake the vacation that you have chosen. If your level of fitness compromises
the ability of others to complete the tour or endangers your or their health, we may require you to withdraw from that
activity or the entire trip. We regret that in these circumstances it will not be possible to refund any payments that
you have made. We are unable to cover additional expenses that result from you being late, careless, negligent, sick, unfit,
incompetent or failing to follow the instructions of the guide.
14. We only issue instructions where they are necessary to protect you
or other members of the group. It is important that you abide by these instructions. By signing the
booking form you agree to follow them and guidance given by the leader and abide by his/her decisions.
Complaints and disputes procedure
15. We hope that you will have no complaints, but if you do, we want to hear them. Please write to us at 319 Hopkins
Road, Baltimore, MD 21212, USA. We ask that you do so no later than one month after returning home. We aim to resolve all
complaints to the satisfaction of both parties. In the event of a dispute that cannot be settled between us, the matter
will be referred to arbitration.
